Important Reminders from the NEW '24-'25 21st CCLC Timeline:

Perform Budget Review and submit any Budget Amendments to Survey Monkey Apply, if necessary.

Receive and review Local Evaluator’s Interim Report. Share information with stakeholders and integrate actionable findings and recommendations into the ongoing internal improvement cycle.

Participate in the required Program Directors’ Mid-Year Report. Submit responses to NYSED’s via Survey Monkey Apply (SMA) by February 28, 2025. This information is used by the NYSED Program Office to review program progress, and to select useful, summary findings available to all statewide stakeholders in the Program Directors’ Progress Brief.

Convene 3rd Advisory Board Meeting. Include all stakeholders. Topics might include review of program progress and achievement of interim goals/mid-year benchmarks, reflect on internal review of staff performance/participant engagement findings, and integrate evaluation findings into continuous improvement plans. 

EZReports Data Entry:

  • Monthly entry of new students’ State 10-digit ID numbers (RoS) or OSIS 9-digit ID(NYC) numbers for every enrolled student. 

  • Monthly certification of student essential records enrollment, activities, and attendance records. 

  • Monthly update of teachers’ names entered for every new student enrolled in grades1-5. This information will be used to populate the distribution for the Teacher Surveys at the end of the year. 

Monitor the need for FS-25s. This form is only used to request funds from an approved grant and subgrantees should only request as much cash as is necessary to meet the immediate needs of the grant project. For more information on FS-25s, please see the FS-25 Payments for Federal and State Grants advisory and the Fiscal Guidelines for Federal and State Funded Grants.

Monitor the need for any Budget Amendments (FS-10-As) and submit via Survey Monkey Apply. These are accepted any time during the program year up until April 15.

Convene and document the proceedings of required meetings and events with data manager, fiscal manager, educational liaison, evaluator, partners, program staff, and/or safety team. This includes Advisory Board Meetings, Collaborative Planning Time with schools and partners, internal Professional Development Sessions, Family Forums, and other organizational events. See Site Monitoring Visit (SMV) Tool for more detail and timeline requirements.

Actively maintain all required programmatic, fiscal, and operational records and annually updated plans, in a system that allows for efficient retrieval and ready use (for evaluation, accountability, and other reporting procedures).

Make sure that your SACC registrations are current and work closely with OCFS to renew expiring registrations.

Reminder that once attendance has been recorded for a session in EZR, the session information cannot be changed. Please double-check that all session information is correct before entering attendance.

REQUIRED - Spring Conference - Friday, May 2, 2025

The Spring 2025 Conference will be held in conjunction with New York State Network for Youth Success’ Empower Youth Success conference. Friday, May 2, 2025 is mandatory for all 21stCCLC Program Directors; our portion of the conference is free but if you would like to take advantage of the additional offerings make sure you have included it in your budget as there is a fee for the other days. Friday, February 28th: Facilitation Practices to Elevate Youth Programming

We're excited to share an upcoming virtual event with our subgrantee community. Program staff and folks who want to engage in a discussion about promising facilitation practices are encouraged to join this interactive workshop on February 28th. Participants will gain ideas for enhancing activity implementation, and collaborate with colleagues to share ideas and experiences. Everyone will be encouraged to bring a sample of their own program resources and be prepared to spend time working in small groups. Feel free to explore the details below:

  • The New York State Education Department (NYSED), in collaboration with the BOCES and Big 5 school districts, is hosting a statewide DEI conference on March 19, 2025, from 9:00 a.m. – 1:00 p.m. at designated BOCES and Big 5 sites.

  • This event, which will be a hybrid conference along with in-person discussion, will provide district and school administrators, DEI leaders, and educators with an opportunity to learn about ways in which school districts across the state are aligning practices with the NYS Board of Regents Policy on Diversity, Equity, and Inclusion.

  • Promising practices in several key areas of the DEI Policy will be addressed, including establishing and facilitating DEI Committees focused on targeted goals, partnering with families and communities in advancing equity, and implementing inclusive programs that foster a sense of belonging and overall student and staff wellness.

  • Individuals must attend in person and register through their local BOCES or Big 5 site.

Summer 2025: New York State Department of Labor’s Educator Career Development Ambassador Program: An Opportunity for Grade 6-12 Teachers, Librarians, and Counselors
  • The New York State Department of Labor is hosting the Educator Career Development Ambassador Program.

  • The Educator Career Development Ambassador Program is a paid, four-week summer training opportunity for teachers, librarians, and counselors to develop, implement, and deliver 21st-century career-readiness curricula and strategies to New York’s students.

  • This program is open to all grade 6-12 teachers, librarians, and counselors with five or more years of experience in a school setting.

Invitation to Participate in the U.S. Department of Homeland Security’s Invent2Prevent, Student-Led, Peer-Developed Initiative to Prevent Targeted School Violence

  • New York State high schools are invited to participate in a free school safety and prevention program sponsored by the U.S. Department of Homeland Security (DHS) beginning January 2025 through May 2025.

  • Invent2Prevent challenges high school students to create and implement peer-developed initiatives, products, and tools to prevent targeted violence and hate in ways “they believe” will be most effective in their schools and communities. In prior years, several New York schools have participated in this extraordinary program.

  • The program is free of charge and has been sponsored by the DHS Center for Prevention Programs and Partnerships (CP3) for the last four years. Invent2Prevent is managed by EdVenture Partners who work with students throughout the entire project period in a guiding, mentoring, and coaching capacity.

  • Each high school receives a $1,000 budget to implement their Invent2Prevent project. Top teams present and participate in a national competition in Washington D.C. in June, all expenses paid, and compete for $9,000 in cash awards. These experiential Invent2Prevent projects are developed by youth for youth and are extremely creative and effective.

  • Thirty-five spots will be made available to high schools for the January 2025 through May 2025 academic period on a first come, first served basis.

21st CCLC NTAC Professional Learning Portal is live!

We are excited to announce the official launch of the 21st CCLC NTAC Professional Learning Portal! As of  Jan. 14, the entire 21st CCLC community has access to this innovative platform, which consists of a Learning Management System (LMS) and a community of practice, known as the Knowledge Network, designed to transform how the 21st CCLC NTAC delivers training, resources, support, and encourages networking. Wanted: Money-Smart Lifehack$ From You and Your Students

Program leaders: You and your students are invited to submit a short video (2 minutes or less) related to financial literacy. This is your chance to showcase a strategy or activity that enhances students’ “money smarts,” and for students to share what they’ve learned. They can have fun brainstorming creative ideas. Maybe they’ll decide to share money tips for teens, debunk myths like “investing is just for rich people,” or create a public service announcement with money-saving advice delivered in a skit or song. We’ll be sharing selected videos on our social media platforms during Financial Literacy Month in April. Don’t miss the opportunity to celebrate your students’ growth, share best practices, and inspire others! Submit your videos to info@21stcclcntac.org by March 15. Reminder: Make sure you have signed release forms on file for any students who appear in your video!


 

NPR's Student Podcast Challenge

NPR's Student Podcast Challenge invites middle and high school students nationwide to create and submit original podcasts. This competition offers a unique opportunity for students to develop storytelling and technical skills, while amplifying their voices on topics that matter to them. OST professionals can integrate this project into their programming to engage students and enhance their learning.

  • This monthly communication from NYSED’s Office of Student Support Services provides practical tips and resources for fostering well-being at home and work.

Resources from The New York State Center for School Safety

Winter break and the start of the second half of the school year can be a good time to revisit your school or district safety plans. Over the course of 2024, SchoolSafety.gov released nine new issue briefs that can support these planning efforts. Each brief can help you learn more about topics of interest to your school or district, and identify actions and resources to enhance your school safety measures. 

 

Read more about some of the issue briefs below as you prepare for a safe and supportive remainder of the school year in 2025. 

 

Inclusive Emergency Planning – Emergency planning should account for the diverse needs of the entire school community, including individuals with disabilities and students and staff requiring special accommodations. This issue brief highlights strategies and resources to support inclusive and comprehensive school emergency planning. It includes specific information on the value of training, exercises, and drills and planning for individuals with access and functional needs.

 

School Safety and Reporting Programs – Reporting programs for K-12 schools and districts can serve as vital channels for students and school community members to report concerns regarding student wellness and safety. This issue brief outlines actions and resources schools can use to enable, improve, and sustain reporting systems and create an environment that empowers students to share concerns.

 

Trauma-Informed Schools – Trauma and traumatic stress can have significant effects on students, including their emotional well-being, mental health, and academic experiences at school. This issue brief describes the impact of trauma, and offers strategies and resources to build trauma-informed schools that promote student well-being within safe, supportive learning environments.

2025 Statewide Mathematics Tournament

  • As part of the Expanded Mathematics Access Program (EMAP), NYSED and First In Math will be hosting a Statewide Tournament for Mathematics for students in grades 1-8. The Statewide Mathematics Tournament will include virtual regional contests and an in-person statewide event.

  • The virtual regional contests will be held during school hours on Thursday, March 20, 2025. The statewide in-person event is scheduled to be held on Saturday, May 31, 2025, at the New York State Museum.

  • New York State students in grades 1-8 who are enrolled in the First in Math program are eligible to compete in the online Regional Contest. Winners of the 10 regional contests will advance to compete in the statewide event.

  • The First in Math program is free for all (public, BOCES, charter, religious, and independent) New York State schools and programs serving students in grades K-8.

Governor Hochul Announces Release of New York’s First Media Literacy Toolkit for Educators
  • New York’s first ‘Media Literacy’ toolkit for educators will help teach students how to spot mis/dis/mal-information online.

  • Following a surge in online hate speech in November 2023, Governor Hochul directed the State Division of Homeland Security and Emergency Services to work with experts to develop and distribute an ideologically neutral product that gives teachers resources to develop students’ ability to analyze, evaluate, and assess all forms of media, including information delivered through social media.

  • The toolkit is the first in a series of resources on media literacy the Division intends to produce and serves as a primer for educators throughout New York looking to introduce their students to these concepts.

  • The State Division of Homeland Security and Emergency Services and the New York State Education Department will work closely with BOCES across New York to provide professional learning opportunities for educators on how to use these resources to support student media and digital literacy.

Program Spotlights



NASA Launches Students into Inquiry and Innovation



In October 2024, NYSED’s 21st CCLC program office, on behalf of its 21st CCLC sub-grantees that expressed an interest, applied for and was accepted to participate in the National Aeronautics and Space Administration (NASA)/ US ED STEM Design Challenge Collaboration 2024-2025 Program. The collaboration will support an expansion of STEM opportunities for students across the country in over 100 sites across 10 states. New York has currently ten 21st CCLC sites that will offer NASA STEM programs and serve over 300 students across the state. Sites will execute a series of engineering design challenges in the 6th -8th grades, enabling them to develop solutions to the real-world science and engineering problems faced by NASA scientists, engineers and astronauts today.

 

From January 9-10, at the New York State Museum, Program Directors and Activity Leaders from ten 21st CCLC sites across New York State attended the Face-to-Face Professional Development with NASA to learn about the Engineering Design Process, Experiencing and Teaching the Engineering Design Challenges, Subject Matter Expert Supports, Evaluations and the Project’s Timeline. It was two days of collaboration and STEM integration. Thank you, NASA, for leading us in the right orbit to inquiry and innovation. We are truly excited about our 21st CCLC programs launching this project with our young scientists and engineers this winter and showcase their Engineering designs in Spring 2025. Touchdown! PS 108 Wins, and a Star Player Emerges

Here at PS 108 our middle school students play flag football at Asphalt Green on Saturdays for Saturday Night Lights. After a few losses, our team preserved and won our first game. An 8th grader, pictured below was the game's MVP. It's been a rough season as it's many of our students' first time playing this sport but they have grown so much ! 

London, Game MVP – MS 108 — London put together an amazing performance on offense and defense for MS 108. London scored 3 touchdowns on offense and had 2 key interceptions on defense to give her team their first win of the season! Phenomenal job London!
