Important Reminders from the NEW '25-'26 21st CCLC Timeline:
Summer-Commencing Programs: Convene 1st Advisory Board Meeting/Kick-Off. Invite all stakeholders, including but not limited to, partnering agencies, school leaders/liaisons, the local evaluator, data managers, parent & community advocates/ambassadors. Purposes: Comprehensive Planning, creating/clarifying mutual agreements. Topics might include scheduling, roles, norms/expectations for engagement, communication, and collaboration.
Begin summer programming, if applicable.
Ensure School Age Childcare (SACC) Registrations are current and sent to NYSED and the ROS or NYC TARCs before programming can begin.
Enter summer 2025 program participation and activity data into Afterschool21 by August 31, 2025.
Obtain grade-level report data for students in Grades 7, 8, and 10-12 from partnering school district(s) in accordance with the prior-approved Partnership Agreement and submit completed GPA calculators to the subgrantee’s respective Go Anywhere FTP folder by August 31, 2025. Programs required to submit GPAs should reach out to EMSC21stCCLC@nysed.gov for further information. Review the Guidelines for completing the calculators and the recording of the June 18, 2025 training. Contact your TARC promptly if your district’s schedule for releasing grades will not allow you to meet this deadline.
Afterschool21 Guidance
TransAct, with their data collection system Afterschool21, have started the 21st CCLC data collection services for the New York State System. We hope the transition will be seamless. All the subgrantees are requested to attend the training and reach out to their respective resource centers and NYSED in case of any issues.

These trainings are required for all subgrantee program directors and/or program leadership to attend. Please forward to your site coordinators and other relevant staff. The training will include grant level and site level training for users.

Cradle to Career Summit – August 12th from 8 AM – 3 PM
The Office of Special Education, in collaboration with the State University of New York at Albany and Cornell University, is hosting its third annual Multi-Tiered System of Supports-Integrated (MTSS-I) Virtual Summer Conference. This cost-free virtual conference will be held on August 13 -14, 2025, from 8:30 a.m. to 4:00 p.m.
MTSS-I is an evidence-based, data-driven tiered system of supports that addresses the academic, behavioral, and social-emotional needs of all students. It provides the structure for schools to prioritize the needs of the whole child and ensures that all students receive the support they need to be successful learners.
This year’s theme is “From Educational Blueprint to Success: Practical Approaches to Implementation.” Featured are four distinguished national experts: Dr. Caryn Ward, Sophia Farmer, Dr. Rinaldi, and Dr. Heidelburgh.
This event is open to all. Educators, administrators, families, and other stakeholders interested in improving outcomes for all students are encouraged to attend. Registration is required. Learn how to engage young people in engineering design practices by tackling a design challenge! This workshop will feature activities from a design challenge project. Participants will experience the activity, and discuss how all young people can try on the identity of an engineer. This session will emphasize the skills of an engineer, as well as process, in order to engage young people in 'trying on' the role of engineer.
Credit: This virtual session will count for one and a half (1.5) hours of OCFS training credit (CBK 4; OCFS 3)

Part of working with children also includes managing behaviors. This training will help participants identify common misbehaviors in after school programs and how the environment plays a role. Learn techniques to guide positive behaviors and turn misbehaviors into teachable moments for youth.

In-Person Training: Every Child, Every Day: Improving Attendance in Schools
The C/W Community Schools TAC team is hosting a free, in-person attendance workshop, facilitated by Jorge Blau from the National Center for Community Schools.
Join us for a full-day interactive session to deepen your understanding of chronic absence and enhance your team's response. This session is for school attendance teams (groups of 2-6).
* Registration is available for those in the Central/Western region and offered at three locations across the state. Choose the one that best suits your team's schedule. (Other regions can register to be put on a waitlist.)

Discover the role that afterschool programs play in helping children survive and thrive after traumatic experiences. Using trauma-informed care research, this workshop will explore how adverse childhood experiences (ACEs) can affect children's growth and development. Emphasis will be on practices in afterschool, including interactions with children and program development. This workshop is for all afterschool, summer, and expanded learning time staff who want to integrate trauma-informed practices into their programs.
Credit: This virtual session will count for two (2) hours of OCFS training credit (Core Competency Areas 1,4; OCFS Training Topics; (10) Adverse childhood)

Evaluators' Corner
2024-25 AER Templates have been released. This year's AERs will be due on October 31.
Year 3 AER Template (Posted June 2025). Note: Completed AERs and all supporting documentation must be emailed to NYSED at EMSC21CCLCSTCCLC@NYSED.GOV by Friday, October 31, 2025. Before submission, Program Directors must review the AER to verify the accuracy and completeness of all information.
Year 3 Annual Evaluation Report (AER) Evaluation Plan & Results Table. (Posted June 2025) This completed form accompanies the AER Template.
Post-SMV Reflections: If your program has participated in an SMV this year and you would like to provide feedback about your SMV experience, please use the Post-SMV survey link to access the form. Any questions related to this survey should be directed to Laura Sweig at 21ceval@measinc.com

Local Evaluators: Complete Annual Evaluation Report (AER; MS Word Document) and accompanying Evaluation Plan & Results Tables (MS Excel Workbook) and send to the Program Director and NYSED via Survey Monkey Apply by October 31. Obtain student outcome data from districts as needed for local objectives. If these records cannot be obtained in time for the AER deadline, please submit outcome information in an addendum.
